How It Works
Five steps, no surprises. You see a digital proof and sign off before a single thread is laid down. Here is exactly how the process runs.
Email your design to [email protected] with your patch type, approximate size, quantity and backing preference. A rough sketch is fine at this stage. We will digitize and clean it up as part of the quote process.
Within two business days we send back a digitized proof showing thread colors, border style, stitch direction and exact dimensions. Nothing is final at this stage — revisions are included in the quote price.
When the proof looks right, you confirm approval by email and pay a 50% production deposit. The remaining 50% is due before shipment. We accept cards, ACH and PayPal.
Your patches go into the production queue. Standard turnaround is 12–16 business days from deposit. Rush orders (7–9 days) are available for most patch types at a surcharge — ask when you submit artwork.
Patches are inspected, counted and shipped via USPS Priority, UPS or FedEx depending on order size and destination. Tracking is emailed the day of shipment. Most domestic orders arrive within 3–5 business days of dispatch.
Artwork guidelines
The better your artwork file, the sharper your proof comes back. Here is what works best for each patch type:
For embroidered and woven patches: Vector files are ideal — AI, EPS or PDF with text converted to outlines. High-resolution PNG or JPEG (300 dpi or above) works well. If your artwork has gradients, let us know. We will advise on how best to translate them into thread colors.
For PVC / rubber patches: Vector is strongly preferred since we build the mold directly from your artwork. Clean, closed shapes with defined layers make for the best 3D result. Avoid very thin lines (under 0.8mm finished width) as they can tear in the mold release.
For chenille patches: Bold, simple shapes. Block letters, chunky logos, clean animal silhouettes. Detailed linework will not translate into pile fiber — keep it graphic.
No vector file? Not a problem. We do in-house digitization from photos, sketches and low-resolution logos for a flat redraw fee. Send what you have. We will tell you what is needed.
These are working-day timelines from deposit receipt, not calendar days. They assume clean, approved artwork. Revisions and back-and-forth add time at the proof stage, not during production.

Minimums exist because setup (digitizing, creating the mold, threading the machine) costs roughly the same whether you run 50 patches or 5,000. The per-unit cost drops significantly at higher quantities. Common pricing breaks are at 50, 100, 250 and 500 units.
If you genuinely need a single piece (for a costume, a gift or a pre-production sample) reach out. We can produce single units at a higher per-piece cost for embroidered patches only. Minimum quantities for PVC and chenille are fixed due to the tooling involved.
Every order includes up to three rounds of proof revisions at no extra charge. Each revision cycle takes one to two business days. After three rounds, additional revisions are billed at a flat hourly rate. In practice, most orders close within one or two rounds.
Production does not start until you send written approval of the proof. That email confirmation is your final sign-off — review it carefully. Color accuracy depends on your monitor calibration; if color matching is critical, ask for a Pantone-matched proof.
We ship throughout the US and to Canada, the UK, Australia and most of Europe. International orders ship via USPS International Priority or FedEx International Economy. Customs duties and import taxes are the responsibility of the recipient and vary by country. Lead times for international orders add 5–10 business days to the timelines listed above.
Once your artwork is digitized and approved, reorders are significantly faster — typically 8–10 business days for embroidered and 10–12 for other types. We keep your files archived for two years from the last order date.
